Job Description for Assistant Executive

Officer is responsible for the following duties:

General Administrative

  • Answering phone calls, take messages, routing correspondence, handle incoming mails, provide replies to general queries on phone and emails
  • Assist in organizing events, Board meetings and travel arrangements
  • Updating and maintaining proper filing system
  • Monitor office supplies and research for suppliers
  • Any ad-hoc duties as assigned

Finance

  • Support finance department for processing of donations and tax-deductible receipts
  • Manage Accounts Payable/Receivable
  • Process invoices, payments and reimbursements promptly
  • End to end audit arrangement processes
  • Banking matters

Communications

  • Administrative support in marketing and communications

Programmes

  • Project administration support e.g. liaising with vendors and participants, data entry, making travel arrangements for overseas monitoring visits and overseas delegates for the Communities of Success Programme

 CANDIDATE REQUIREMENTS

Technical Competencies:

  • Proficient in MS Office (Excel, Word & PowerPoint)
  • Able to multi-task and prioritize tasks effectively
  • Exemplary planning and time management skills to meet deadlines
  • Meticulous, passionate and resourceful
  • Excellent interpersonal and communication skills, be pro-active, independent and a team player
  • Contribute initiatives and recommend improvements
  • Proactive in problem solving and has a positive attitude


Preferred qualification/experience:

  • Diploma, preferably in social service or corporate sector
  • Relevant administrative experience
